Customer-facing emails

When a customer books or their payment status changes, they get a branded email — your logo, your colours, your from-name. You choose one of four designs (Clean Classic, Modern Branded, Minimal Text, Elegant Bordered) and see every email type rendered live against your real branding before you pick.

  • Booking confirmation — sent when a booking is created / confirmed.
  • Payment succeeded — a receipt-style confirmation.
  • Payment failed — a clear "it didn’t go through" message with a link to retry checkout.

Agency-facing notifications

Your team can be notified about the events that matter to you — new bookings and payment outcomes — at a recipient address you set. These are toggleable per event.

The monthly business report

On the 1st of each month, Voyara generates a one-page PDF report for the previous month and emails it to your admin address through your own SMTP. It covers total and paid bookings, revenue (per currency, never converted), average booking value and conversion, each broken down by flights / tours / packages, with a month-over-month comparison. You can also download any month's report on demand from the Analytics page.

The numbers are the same ones your Analytics dashboard shows — the report is a snapshot of them, not a separate calculation.

Requirements and limitations — stated plainly

No shared mail server — connect your own SMTP

Voyara does not send customer email on your behalf from a shared address. Until you enter working SMTP credentials on the Email Notifications page, customer emails and the monthly report simply don't send. There's a “send test email” button that reports the real SMTP server response so you can confirm it works.

Other notes

  • Your SMTP password is encrypted at rest (AES-256) and never shown back to you — only the last four characters, for identification.
  • Deliverability (SPF, DKIM, domain reputation) depends on your SMTP provider and DNS setup, not on Voyara.
  • If an email fails to send, it never blocks the booking or payment it was attached to — the action still completes and the failure is logged.
  • Password-reset emails for your own staff accounts are sent by Voyara’s platform mail, not your SMTP.
